# Insights (/docs/en/guides/insights)

**Insights** shows aggregate totals and trends for your whole practice. Access to Insights is separate from access to patient files. Every default role can view it. Creating dashboards and cohorts needs the **Manage insights** permission, and exporting needs **Export insights**. Owners and admins have both.

Your plan decides what is available. Starter, Premium and Enterprise include the **Practice** and **Forms** views. Premium adds custom **Dashboards**. Enterprise adds **Cohorts** and exports. If a feature is not on your plan, Insights explains what the plan adds instead of showing it. Locked tabs stay clickable so you can read that explanation: on Starter, **Dashboards** and **Cohorts** carry a lock mark.

## Read practice figures [#practice]

1. Open **Insights**, under **Manage** in the sidebar. The **Practice** tab is the default view.
2. Choose a **Period**: **30 d**, **90 d**, **12 mo**, **All** or **Custom**.
3. Set **Compare** to **Previous period** to see the change.
4. If your practice has more than one location, choose one instead of **All locations**.

Short periods count complete weeks or complete months, not partial ones. Weekly figures are grouped by Monday in UTC and monthly figures by the first day of the month, so totals can differ from an exact calendar count. A note on the chart says which applies.

Visit counts by location include only visits booked as appointments. Other visits have no location of their own.

## Review form results [#forms]

Open the **Forms** tab and choose a form. You see how many requests were created and completed, the median time from request to submission, and a chart for each question.

If a later version of a form changed a question's options, the results are shown as separate series. With the **Manage insights** permission you can use **Map answers** to join the old answers to the new options. The mapping is recorded.

Free-text questions are only counted. To read an individual answer, open it in the patient's record. See [Patient forms](/docs/en/guides/patient-forms).

## Build a dashboard [#dashboards]

Dashboards are named lists of widgets, shared with everyone in the practice who can view Insights.

1. Open **Dashboards** and choose **New dashboard**.
2. Choose **New widget**.
3. Pick a variable, say what to show it **by**, add filters if you need them, and give the widget a title.
4. Choose **Save widget**.

Each widget keeps its own saved period. Check it before you compare two widgets. **Delete dashboard** and **Remove widget** cannot be undone.

**Cohorts** are saved filters with a count, never a list of people. A cohort needs at least the minimum number of patients shown in the editor before you can save it. Deleting a cohort stops any widget that uses it until you edit or remove that widget.

## Export aggregates [#export]

On a dashboard, choose **Export aggregates**. Salisan prepares a file in the background and shows a link to **Organization → Compliance**, where exports are listed.

<Callout type="warn">
  An export is a file that leaves the app. Counts in it are rounded to multiples of 5, and the definitions behind them are written into the file. Store and share it as you would any practice report.
</Callout>

## Hidden numbers [#privacy]

Groups below the minimum size are hidden, and the note under a chart lists what is hidden and the minimum group size. Salisan also hides another group when the figures in the same result would otherwise reveal a hidden group by subtraction. Totals may therefore not add up, and a hidden result is not zero.

Patients marked **Exclude from analytics** in their file do not count towards any figure. Insights never opens an individual record. Use a longer period or a wider group if results are hidden, and use the patient's record for decisions about one person.

The Agent applies the same limits when you ask it for clinic figures, and also leaves out patients excluded from AI assistance.
