# Practice settings (/docs/en/guides/practice-settings)

Practice settings hold what is true for the whole practice: its name, addresses, patient email defaults and clinical defaults. They live under **Organization**, which is in the **Manage** group of the sidebar, next to **Overview**, **People**, **Emails** and **Compliance**.

Only the **Owner** can change **Settings**. The exception is **Practice locations**, which needs the **Configure calendar and appointment types** permission. Admins can open **Settings** and read every section. Where you cannot make changes, a section has no **Edit** and says who can change it.

## Set your practice identity [#identity]

Open **Organization → Settings → My organization**. Choose **Edit** beside a row, change it and choose **Save**.

* **Contact email**: patients see it in emails and letters, and their replies go there. Without one, a reply reaches a no-reply address. Use an address someone reads.
* **Logo** appears in the sidebar and on emails to patients. **Phone** appears on letters and shared forms.
* **Clinic languages**: **Main language** is the language new documents start in and the one patients without a language of their own receive. **Other languages** are the languages every form, email and report is translated into automatically, without overwriting text a person typed. Each member still picks their own interface language in personal settings. See [Countries and languages](/docs/en/get-started/countries-and-languages#clinic-languages).
* Guided setup is for a new practice. After completion, edit saved details here and invite colleagues from **Organization → People**.

The practice country comes from the main address. It is fixed once the practice is created, and moving to another country needs a data migration, so contact support.

## Add locations and rooms [#locations]

Open **Settings → Practice locations**. This needs the **Configure calendar and appointment types** permission.

1. Choose **Add address** and fill in the address. Tick **Make this the main address** if it is the one for documents.
2. Under an address, choose **Add room** and enter a room name or number.
3. Use **Set as main**, **Edit** or **Remove** on an address.

The page shows how many locations your plan allows, such as 1 of 1. Starter allows one, Premium three and Enterprise any number. To book into locations and rooms, switch them on in [Calendar settings](/docs/en/guides/calendar-settings#practice-rules).

<Callout type="warn">
  **Remove** deletes the address and its rooms. You cannot remove the main
  address, so set another as main first. An address with future appointments or
  active availability cannot be removed until you move or cancel them.
</Callout>

## Set patient communication defaults [#patient-communication]

Open **Settings → Patient communication**.

* **Sender name**: the practice name by default. Choose something neutral if the name reveals a specialty.
* **Time zone**: every date and time a patient reads in an email uses this zone.
* **Name the clinician**: choose **The clinician who sent it** or **The practice** for appointment confirmations and reminders.
* **Website** is shown at the foot of every patient email. **Legal line** is printed under your practice address. It is the imprint some countries require, and it is left out when empty.
* **Send time** for the daily check-in email is in each patient's local time.
* **Appointment note**: one short paragraph on every appointment confirmation and reminder.
* **Flag after missed days**: from 1 to 30 days. After that many unanswered check-in days, the patient appears under **Needs attention** on their care plan.

<Callout type="warn">
  These texts reach patients in every email. Keep the appointment note free of
  anything that belongs to one patient.
</Callout>

## Set clinical defaults [#clinical-defaults]

Saving needs the **Owner** role.

* **Task priorities**: up to five levels. Rank 1 is the loudest. **Escalates after (hours)** tells the dispatchers when nobody has accepted a task in time. Leave it empty for never. Deleting a priority that tasks use asks where to move them.
* **Care profile**: choose **Edit care profile** to set disciplines, populations, workflows and country context used for recommendations.
* **Coding & catalogs**: **Conditions** and **Medications** each show **Not set** until you choose a catalog with **Edit**. Only catalogs approved for your country are offered.

| Practice country | Conditions              | Medications |
| ---------------- | ----------------------- | ----------- |
| Germany          | Alpha-ID-SE / ICD-10-GM | None        |
| Switzerland      | ICD-10-GM               | Refdata     |
| United States    | ICD-10-CM               | RxNorm      |
| Netherlands      | None                    | None        |

The section is hidden where neither kind is available.

## Check the emails your practice sends [#emails]

Open **Organization → Emails**. The page lists emails you may see, a day at a time. Emails that did not arrive are pinned under **Didn't arrive**, each with its fix. Use **Search by patient** to narrow the list, and **Open email** for the delivery details.

Choose **Send email** to start an email to a patient. Writing, sending and fixing emails is covered in [Patient emails](/docs/en/guides/patient-messages).
