Roles and access
Learn how your role, your teams and a patient's care team decide what you can see and do.
Three things decide what you can open in Salisan. Your role decides which actions you may take. A patient's care team decides which patients a clinician can open. Your teams decide whose calendar and work you share. A missing button usually points to the role, and a missing patient usually points to the care team.
For example, Dr Jansen, Fatima at the front desk and Lars the administrator all work with Anna de Vries. Fatima registers Anna and books her visit. Lars can open Anna's record. Dr Jansen cannot open it until she is added to Anna's care team.
Roles
Salisan has four built-in roles. A member can hold more than one, and the permissions combine.
| Role | Patients | Clinical records | Also |
|---|---|---|---|
| Owner | All | All, read and write | Billing, sign-in policy, practice settings, deleting the practice, custom roles |
| Admin | All | All, read and write | People, teams, calendar setup, templates, audit history |
| Member | Those on whose care team you are | Same patients, read and write | Team calendars, tasks, using templates |
| Secretary | All, including creating and assigning | None | All calendars, patient communication, task dispatch |
Doctors, therapists, nurses and assistants normally have Member. Front desk staff normally have Secretary. There is one owner, and ownership can be transferred. You can only give a colleague permissions that you hold yourself, and the owner role cannot be invited.
The Enterprise plan adds custom roles under Organization → People → Roles. You start from a preset such as Clinician, Front desk or Administrator, then adjust the permissions. A role can cover only the patients in a team.
A role also sets the seat type. Roles that can write clinical records use a practitioner seat. All other roles use a staff seat.
Patient access and the care team
A patient is assigned to you when you are on their care team. The care team is listed on the patient's Record page. There is no lead clinician. Every person on the care team is equal.
- A Member opens only patients whose care team includes them.
- An Owner, Admin or Secretary opens every patient.
- A custom role can open the patients in the member's teams.
Open the patient and use the add button (Add to the care team) in the care team line, or choose Assign in the patient list. This needs permission to assign patients, which the Owner, Admin and Secretary roles have. Only members with clinical record access can be added.
When a Member, Admin or Owner creates a patient, they join its care team automatically. When a Secretary creates a patient, the care team starts empty, so assign a clinician.
Patient access and clinical records are separate permissions. A Secretary can open Anna's details and book her visit, but her diagnoses, notes and readings stay closed, and the Visits and Care plans pages are not listed. A Member needs both the care team and the clinical permission.
Teams
A team groups colleagues who work together, for example a clinic site. Members read and manage the calendars of colleagues in their teams, and the My teams view in Tasks shows their shared work. A patient can also have a home team.
Joining a team does not open that team's patients to a Member. Only a custom role with team patient permissions does that. The Starter plan includes one team, and the other plans do not limit teams.
Other limits
Some things are separate from your role:
- A patient can be excluded from AI assistance. The Agent and transcription then stay off for that patient. See The Agent and you.
- The plan decides some features, such as custom roles and some Insights views.
- The practice can require two-factor protection for every member.
What this means for you
- If a button or page is missing, check your role first. See a missing button, page or setting.
- If a patient is missing, ask someone who can assign patients to add you. See I can't see a patient.
- Administrators set this up in People and access.
