Agent settings

Choose your Agent skills and language, check your credits, set what it asks first, and manage chat and recording retention.

Agent settings control which skills the Agent uses for you, the languages its templates are kept in, what it asks before acting, and how long the practice keeps chats and recordings. Open the Agent and choose the Agent settings button in its header.

The page has five tabs: Skills, Languages, Usage, Approvals and Chats. Most tabs are personal. Changing Chats needs the Manage AI credits permission, which Owner and Admin have. For asking the Agent for help, see Agent.

Choose your skills

Open Skills. A skill is a set of reusable instructions. The list shows Your skills, with a tag for each: Yours, Clinic or Marketplace. The switch beside a skill turns it on or off for you.

  • Open a row to read the skill before you switch it on.
  • Choose New skill to write your own.
  • Search shows Marketplace skills too. Choose Add to list one, switched on.
  • A skill its publisher withdrew shows that it is withdrawn, and the Agent no longer uses it.

A skill changes how the Agent works. It does not give the Agent access to a patient, a record or a message that your role does not allow. More in Skills.

Languages

Open Languages. Forms, reports and emails the Agent drafts start in your clinic's main language, like anything else you write, and are translated into the clinic's other languages. The Owner sets these under Clinic languages in Organization → Settings → My organization. See Countries and languages. Chat replies follow whatever language you type in.

Every template is kept in lists the languages your templates are translated into. Choose Add a language for your templates only to also translate your own templates into a language the clinic does not use. Check translations before you publish.

Check your usage

Open Usage. It shows how many credits are left for you, or for the clinic if you have no personal limit, and when they renew.

  • Your monthly limit shows your cap, or that you share the clinic's credits.
  • Clinic credits shows what is left of the shared pool.
  • Extra credits shows On or Off. When on, the Agent keeps working after the clinic's credits run out.

Owners and credit managers set limits and extra credits. See Billing.

Choose what the Agent asks first

Open Approvals. A switch that is on means the Agent shows you what it will do and waits for your OK. You can choose this for these actions:

  • Create a task
  • Assign tasks
  • Complete, reopen or cancel a task
  • Rename a file or folder
  • Comment on a task

The Agent always asks before it sends an email or a form, books, moves or cancels an appointment, or moves a file to another shelf. You cannot turn that off. Emails and forms wait a few seconds after you approve, so you can still undo them. The page states how long.

Set chat and recording retention

Open Chats. Everyone can read these settings. Changing them needs the Manage AI credits permission.

  • Keep chats for: 30, 60, 90, 180 or 365 days. The default is 90. Chats nobody has used for that long are deleted, with what the Agent remembered from them. Anything saved to a record stays. A shorter period deletes older chats on the next daily run.
  • Recordings decides what happens to a consultation recording once its transcript is saved: Keep with the patient record, Delete after 30 days or Delete once the transcript is final.

Deleted chats and recordings cannot be recovered. A deleting choice also applies to recordings already stored, from the next daily run. An open legal hold keeps a patient's recordings until it is released. Tell patients how long you keep recordings.

These settings do not change the retention rules for clinical records. Those are listed under Data and compliance.
